Choosing inventory software in Uganda
Most stock software is built for somewhere else, and it shows the first time the network drops or the bill arrives in dollars. Here is what to check before you pay for anything.
There is no shortage of options. There is a shortage of options that survive contact with how a Ugandan shop actually runs, which is usually with intermittent internet, staff who should not see the revenue, and a second branch that opened without warning.
Does it keep working offline
This is the first question and it eliminates most of the market. If your till stops when the signal drops, your staff will go back to a receipt book within a week, and then your stock numbers are wrong forever because half the sales never went in.
Ask specifically whether selling works offline, not whether the system is available offline. Those are different claims. Reports can wait. Taking money cannot.
What do your staff see
In a cash business this matters more than any feature list. The person at the counter needs to record sales all day and should never see the day’s revenue, the margins, or the bank position.
Check that roles are real permissions in the system, not just different screens. Hiding a menu is not security. If a member of staff can reach the numbers by guessing a web address, you do not have roles, you have decoration.
What happens with a second branch
Plenty of systems handle one shop well and fall apart at two. The questions to ask are whether you can see both from one screen, whether stock can move between them with a record, and whether the second location costs extra.
If each branch is a separate installation with its own numbers, you have bought two systems and the job of adding them up is still yours.
How you pay, and in what currency
Foreign software prices in dollars and charges a card. That means the cost changes with the exchange rate, and it means somebody in the business needs a card that works for international payments, which is not a given.
Software priced in shillings and paid by mobile money removes both problems. It is a small thing that decides whether the subscription quietly lapses in month four.
Does it handle what comes back
If you sell water, gas, drinks or anything in a container you expect to see again, ordinary stock software will not help you. It counts what you have and what you sold. It has no concept of an item that is out with a customer, a deposit held against it, or a container that is three weeks overdue.
That gap is invisible when you are comparing feature lists, and expensive once you are running. If returnables are part of your business, make it part of the evaluation.
How long until it is actually running
The honest measure is not the demo, it is the day your real stock is in and your staff are using it. Systems that need a consultant, a site visit and a training week often never finish that journey, because the business has a shop to run in the meantime.
A reasonable target is that you can put your fast moving items in during a morning and be selling from it the same day, then add the long tail as you go. If your stock list already lives in Tally or Excel, the system should take it as a sheet rather than making you retype it. We wrote a separate guide on moving off Tally or QuickBooks.
Common questions
How much should inventory software cost in Uganda?
Local systems generally run from around UGX 30,000 a month for a single shop up to several hundred thousand for multi branch setups. Foreign software is usually priced in dollars, which means the cost moves with the exchange rate and payment needs a card.
Does it need to work without internet?
If you sell at a counter, yes. Network drops are normal and a till that stops when the signal does will be abandoned by your staff within a week. Reporting and dashboards can be online only, but selling cannot.
Can I start with one shop and add branches later?
You should be able to. Ask before buying, because some systems treat a second location as a separate installation with its own price and its own set of numbers, which defeats the point.
