Take a payment

The payment screen, working out change, part payment and sales on credit, and what the receipt shows afterwards.

Payment is the moment the sale is written down. Everything before it can be changed freely; after it, the stock has moved and the money is recorded.

The screen is headed "Process Payment" and shows the "Total" at the top. That figure is what the basket came to, after any discounts.

Step by step

1. Choose how they are paying

Three buttons: "Cash", "Card" and "Mobile Money". Cash is chosen to start with, because most counters take cash. The choice is written on the receipt, so it is worth getting right for the day's reckoning.

2. Enter what they handed you

Type into "Cash received". You do not have to type: "Exact" fills in the total, and beside it are the notes people actually pay with, rounded up from the total. On a USh 24,000.00 sale those come up as "USh 25,000.00", "USh 30,000.00" and "USh 50,000.00".

3. Read the change back

"Change to give" appears as soon as the amount is more than the total, and updates as you type. Hand that back. It is the one number worth reading off the screen rather than doing in your head with somebody waiting.

4. Confirm it

The button says "Confirm Payment" once there is an amount. Click it and the sale is recorded, the stock moves, and the basket empties on its own ready for the next customer.

5. Or record a sale with nothing paid

With no amount entered the button reads "Complete Without Payment". That records the sale as owed, which is how you sell on credit to a regular. Choose the customer first, on the "Current Order" panel, or there is nobody for the debt to sit against.

6. Give them the receipt

A "Receipt Preview" opens showing the shop name, the order number like "SO-20260902-0001", the date, whether it was In-Store or Delivery, the branch, who served it, the lines, the total and what was paid. Three buttons: "Print Receipt" sends it to the printer or opens the print box, "PDF" saves a copy, and "Close" puts it away. Closing does not undo anything; the sale is already recorded.

Worth knowing

Part payment is a thing

Enter less than the total and the rest is recorded as owed. The customer's balance carries it, so a regular can pay half now and the rest on Friday without a second sale being invented.

The order number is worth writing down

It appears on the receipt as SO- and the date and a number. It is how anybody finds this exact sale again under Sales History.

A payment refused is not a lost basket

If the sale cannot be recorded, the basket stays as it was. Nothing is thrown away and you can try again.

Questions

The sale was refused when I confirmed payment.

The commonest reason is that the basket was built at a different branch from the one the till is on now, so the stock is not there to sell. Check the branch at the top, clear the basket, and ring it up again on the right branch.

Can somebody pay part now and part later?

Yes. Enter what they gave you and the rest is recorded as owed against the customer. Choose the customer before checking out.

I closed the receipt before printing it.

Nothing is lost. Find the sale under "Sales History", open it and print from there.

Do I have to take the money in Outlyz for it to count?

Yes, if you want the day's figures to be right. A sale recorded without its payment shows as owed until somebody records the money.
