Getting stock in
Fix prices and stock in a spreadsheet
Get your whole product list as one Excel file. Set the prices and counts in it. Send it back, and see what will change before anything is saved.
Outlyz can hand you your product list as one spreadsheet. You work in it the way you already work. Fix prices, count stock, then upload the same file. Before anything is saved, Outlyz shows you how many lines will change, how many already match, and which lines it could not read.
Step by step
1. Open your product list
In the side menu, open "Inventory" and then "Products". The "Export" and "Import" buttons sit at the top of the page, next to "Add Product".
2. Press "Export"
A file called outlyz-catalogue.xlsx downloads to your computer. You will see "Catalogue downloaded". It has one line per item, sorted by product name. Only items that are still active are in it.
3. Leave the id columns alone
The file opens with "variantId", "productId", "product", "variant", "sku" and "category". The "variantId" is how each line finds its way back to the right item. Never change it. Never delete it. Any column you add yourself is ignored.
4. Type the new prices
Fill in "costPrice" and "sellingPrice". Numbers only, and nothing below zero. You can also change "unit". That is the word shown for the count, like bottles or kg. An empty cell is skipped, so an empty price does not wipe the old one.
5. Fill in the stock, if you are counting
The columns "quantity", "batchNumber", "manufactureDate", "expiryDate" and "location" come out empty. In "quantity", put the number sitting on the shelf right now. Write dates as 2026-08-31 or 31/08/2026, or format the cell as a date. A batch number or a date with no quantity is refused. There is nothing to record it against.
6. Name the branch in "location"
If your business has more than one branch, every line with a quantity must say which branch holds it. Write the branch name the same way Outlyz spells it. If you do not, the line comes back saying there is no branch by that name. With one branch only, leave "location" empty and Outlyz fills it in for you.
7. Write the serials for items tracked one by one
Some items are tracked by serial number instead of counted. For those, list the serials in "serialNumbers", split by commas, and leave "quantity" empty. A serial already on file is skipped, so nothing doubles.
8. Save the file, then press "Import"
Press "Import" and pick your saved file. Outlyz reads .xlsx, .xls and .csv. It finds the right tab on its own, so an extra notes tab in the file is fine.
9. Read "Before anything changes", then press "Apply"
A window opens. It tells you how many rows will change and how many already match. It also says "Nothing has been written yet." Under that, it lists the rows it could not read, up to the first 50. Each one is named by its line in your sheet, like "Row 14". Press "Apply" to save, or "Cancel" to throw the upload away. A last window called "Sheet read" counts what was updated and what was left alone.
Worth knowing
The file has to be the one that came out of Outlyz
The "variantId" on each line is what matches it back to your item. A list you type from scratch has no ids. Neither does one from Tally or QuickBooks. Outlyz will say there are no rows with a variant id, and ask you to use a sheet downloaded from here.
The count is what is on the shelf, not what to add
A quantity of 40 means the item now stands at 40. It does not add 40 to what you had. So if you upload the same sheet twice by mistake, nothing changes the second time. Your stock never doubles.
The export does not carry your stock out
Prices and the unit word come out filled in. The stock columns come out blank on purpose. The file is for you to write your count into. It is not a report of what you already hold.
One upload carries 5000 rows
A file with more rows than that is refused before anything is read. Split a very big list into two files and upload them one after the other.
Questions
Can I make new products with the sheet?
No. The sheet only updates items already in Outlyz, because every line is matched on its id. Add the product first. Then press "Export" again and the new line will be there, waiting for its price.
Some rows were refused. Must I fix them all before I save anything?
No. Outlyz says it will leave those rows alone. It asks you to fix them in the sheet and upload again, or apply without them. Press "Apply" and it saves all the good rows. It touches none of the bad ones.
Why does it say it could not read my file?
Two things cause that. The file may not be a spreadsheet Outlyz can open. Or your account may not be allowed to change products. Ask the owner to give you rights to edit products, then try again.
